Data Discovery
for GDPR compliance

GDPR requires businesses to delete personal data once it becomes obsolete, redundant or surpasses retention rules. Sheltr Data Discovery automatically finds such PII and helps employees delete it before it becomes a risk.

It's quite simple.
More data + more places = more problems

The cloud has become a GDPR data dumpster
Employees generate, share and store personal data sporadically across cloud systems as part of daily work, and forget all about it.

Businesses are legally liable, but unaware
Businesses unwillingly accumulate significant amounts of risky GDPR that they are legally responsible for, but not aware of.

Employees are busy and don't have time
Companies rely on employees manually sifting through old emails and files to find and delete GDPR data - a task that rarely gets done.
The solution is simple
Less data.
Fewer places.
Fewer problems.
Sheltr Data Discovery continuously monitors your Microsoft cloud or Google Workspace*, automatically detects risky personal data, and alerts the right people when something needs attention.

Instead of relying on manual searches or outdated and brittle retention policies, your employees get a simple, intuitive and automated way to find and delete GDPR data that no longer serves a purpose.

The result: fewer risks, cleaner systems, and auditable reports documenting you adhere to core GDPR principles.

How Data Discovery helps you meet
GDPR requirements
Article 5.1.c - Data minimisation: Identifies old and redundant personal data across systems, making it easy to get rid of (i.e., minimise) data that is no longer needed, in line with the principle of minimisation.
Article 5.1.e - Storage limitation: Continuously monitors for GDPR data that is kept for longer than allowed by the specified retention policies. This ensures ongoing review of personal data, aiding in timely deletion.
Article 5.2 - Accountability: An accurate, up-to-date inventory and overview of personal data supports Data Controllers in documenting GDPR compliance and maintaining accountability across processing activities.
Article 30.1.c - Categories of personal data: Automatically discovers and classifies personal data by category, contributing to the creation and maintenance of compliant records of processing activities.
Article 30.1.f - Time limits for erasure: Notifies the appropriate owner about personal data that has exceeded retention rules, and supports enforcement of deletion through an easy-to-use portal for employees.
Article 32.1.d - Regular testing for effectiveness: Assists in uncovering wrongfully stored and old GDPR data, helping with the ongoing assessments of data protection controls and awareness initiatives, surfacing areas that need attention.

Departmental ownership
Give managers the insights they need to engage their teams
Each manager gets a clear overview of how their own team is performing in the GDPR clean-up, and can easily track progress:

- Are any employees falling behind and may need help?
- Is old GDPR data actually being cleaned up?
- Is the team performing well or poorly overall?

Employees get their own portal where they can see and delete old emails and files they own that contain GDPR data.

This shifts GDPR responsibility from a centralised burden to a distributed, transparent process in which each department and employee plays an active role.
Integrates with your cloud
Delete GDPR data across your Microsoft Cloud or Google Workspace*
Sheltr Data Discovery connects directly to your cloud environment, scanning email, drives, shared folders, files and more. Setup takes just a few minutes, and once connected, Data Discovery runs silently in the background, syncing with your cloud once every day to keep everything ajour.
